Aftercare Policy and Procedures
1. Purpose of Aftercare
• To provide a safe environment for a child from pre-primary to Grade 6 (or higher grade on request) whose parents cannot collect him/her after regular school hours.
2. Additional Services Offered
• A midday meal. • Refreshments. • Help with some homework. • Creative, social and other play activities.
3. Safe Environment
• Staff are responsible for a child immediately on arrival of the child and this responsibility will only end when the parents or a designated guardian signs to collect the child. Parents are to stipulate on the enrolment form who will collect their child each day. If the child is collected by any other person, then parents must notify the Aftercare Staff prior to collection. • During this time, every reasonable precaution will be taken to provide a safe environment. • Minor injuries will be dealt with in an appropriate manner. • Serious injuries will be handled as follows: * paramedics called in * parents immediately notified * if hospitalization required, then child will be taken to Randburg Medicross * parents will be responsible for all costs • The main pre-primary entrance will be the only entrance and exit point for Aftercare. • During lunch, supervisors will take the register to determine which children are present. All children are to report to Aftercare prior to any extra-mural activity. • Parents must inform Aftercare if their child is ill and not at school. • At the beginning of each term, parents must also provide the Aftercare Staff with their child’s extra-mural programme.
4. Midday Meal or Refreshments
• Varied and nutritious meals are provided each day. • Weekly menus are available on request. Sample menus are included in this brochure. • Refreshments are provided after meals in the form of water-based and vitamin enriched cold-drink. Drinking water is available at all times. Each child is encouraged to bring a water-bottle. • Each child will be encouraged to eat a reasonable portion of food.

5. Homework
• Supervision takes place from Monday to Thursday. • It commences after lunch and continues until 16h15. • Grade 1 to 4 learners are divided into two groups with a supervisor in charge of each group. Grade 5 and 6 learners do homework under the supervision of a teacher appointed by The King’s School in the aftercare grounds. A register will be kept, diaries stamped and time in and out recorded. Children will then show their diaries to the Aftercare Supervisors. Grade 5 and 6 learner’s homework supervision ends at 15h45. Grade 7 up do homework in the Media Centre from 14:30-16:00 Mondays to Thursdays. • All homework completed under supervision will be initialed. The onus is still on the parents to check the homework diary and to sign it. • Parents are ultimately responsible for their child’s homework. Certain homework is specifically for parents to check. • After homework supervision ends at 15h30 for Grades 1 and 2, and 16h15 for Grades 3 and 4. Learners may continue on their own. • Children must have readers and all necessary stationery in their school bags for homework.
6. Clothing and Possessions
• Children must have a change of clothes and hat and water-bottle. • No child is allowed to stay in his/her school uniform. • Every Friday afternoon and on most days in the holiday time in summer, there is swimming. Please ensure that your child has a swimming costume, towel, hat and sun-block. • All clothes and possessions must be clearly marked with your child’s name. • Each child to have a suitable bag for all items. • No toys from home are allowed in the Aftercare as Aftercare Staff cannot be responsible for the toys, and toys are provided.
7. Discipline
• The Aftercare operates on the biblical premise that correct discipline is an expression of love. • A child will be taken aside for correction. • Each child will be taught to say sorry and learn to forgive one another. • The supervisors will attempt to enforce consistent, fair discipline when necessary so that each child will learn respect and self-discipline. • Older children will be encouraged to assist with younger children as an expression of God’s family. • Parents will be contacted with more difficult cases.
• Basic Rules: In addition to The King’s School expectations of learners, the following basic rules apply:
- Playground: No shouting No climbing trees No throwing sand in or out of sandpit No playing on verandahs. No playing on tables/lockers No standing on swings/only one child per swing
- Bathroom: No climbing on toilet seats or hanging on doors Only one person per cubicle Flush toilets and wash hands
8. Communication
Good communication is essential for good relationships.
• There is an Aftercare “Talking Book” in the Pre-Primary Office, where parents may leave messages for the supervisors regarding: - attendance/absenteeism - change in a child’s extra-mural activities - medication to be administered - child’s welfare

9. Friday Evening and Kidz Zone
• A light supper will be offered on Friday evening to all children who will go on to attend Kidz Zone. Cost on Aftercare Fee Structure. • A leader from Kidz Zone will collect the children at 17h15. • Kidz Zone finishes at 18h45 - parents to collect their children from the front foyer of The King’s School. • The children are enriched in God’s Word and enjoy a great time of fellowship and fun.
10. TYPICAL AFTERCARE DAY
Monday to Thursday 12h45 Pre-School learners collected 13h15 Grade 1-3 learners arrive 13h20 Washing of hands 13h30 Grace and Lunch (and daily register taken) 13h50 Change clothes (if necessary) 14h00 (i) Pre-School learners: supervised play activities with the pre-school teachers who are on duty (ii) Grade 1-3: Start supervised homework Grade 1-2 : With Supervisor and Pre-school teacher Grade 3: With Supervisor 14h05 Grade 4-6 learners arrive. Eat and change - on Wednesdays arrive at13h15 14h30 Grade 4-6 start supervised homework. 15h30 Pre-Primary teachers leave. Learner’s now under care of Aftercare staff. Homework continues for Grade 1-6. Learners who have completed their homework move out to play. 16h15* Homework supervision ends. Learners may continue with homework on their own. 16h30 Early Supervisor leaves. 16h45 Pack up time. Learners put on socks, shoes, jerseys, etc. (takes place earlier in winter). When ready, play games till collected. 17h15 Aftercare officially closes. All children to have been signed out. 17h30 Grace period for latecomers ends. Parents who collect their child after this time will be fined (see Aftercare Fee Structure).
* There are learners who will arrive at different times throughout the afternoon because of extra-mural activities. These learners will have to eat, change and start homework outside of scheduled times and it may not be possible to complete their homework. All work completed under supervision will be initialed. Onus is still on parents to check homework diary and sign.
Friday
12h45 Pre-School learners collected. 13h15 Grade 1-3 learners arrive. 13h35 Grade 4-6 learners arrive. 13h15 ) Lunch 13h55 ) 14h00 All learners involved in free play. Supervisors interact with learners (also time for supervisors to organize group activities).
11. Holiday Activities:
• Only provided for pre-primary and primary learners (Grades 1 to 6) who are members of The King’s School.
• Activities are organized during the following holiday periods: - January 4 week days before The King’s School opens *. - March/April (excluding public holidays) - June/July - September/October - December 8 week days after The King’s School closes*.

• Parents who have paid their annual/monthly fees are excluded from the holiday fee but will be required to contribute towards the items purchased for fun activities (e.g. art and craft fee).
• A holiday programme is available before each holiday.
• Times: 07h30 to 17h30.
• Suitable and acceptable part-time staff members are appointed during the holiday periods to assist the Aftercare Supervisor, and to allow the other supervisor the opportunity to take a well-earned rest.
• During the June holidays, New Creation Family Church organizes a holiday club for 3 to 5 days. Please note this holiday club - - is for Grade 1 to Grade 7 learners only - sets a fee that must be paid to NCFC irrespective of whether a learner attends Aftercare in the holidays - is from 7h30 to 12h30
12. Parent Grievance Procedure
• Matthew 18:15 says: “If your brother sins against you, go and tell him his fault between you and him alone. If he hears you, you have gained your brother.” All grievances should first be discussed between the parents and the Aftercare Supervisory Staff in a spirit of yieldedness and forgiveness with the aim of resolution and restoration of relationship.
• Matthew 18:16 says: “But if he will not hear you, take with you one or two more, that by the mouth of two or three witnesses every word may be established.” If the grievance has not been resolved between the parties concerned, the matter should be referred to the head of department, Jill van der Walt, or if the grievance concerns the head of department, then the Principals. Discussion should aim to resolve the issue and restore relationship.
• Grievances that concern the principals may be referred, in writing, to the chairperson of the management board after all internal procedures have been exhausted.
